Terms & Conditions

These Terms & Conditions apply to travel arrangements made through Berridge Travel Company. By confirming a booking and submitting the required deposit, you acknowledge that you have reviewed and accepted the terms applicable to your journey.

Because every Berridge journey is individually curated, certain booking, payment, cancellation and supplier conditions may vary. Any terms specific to your journey will be communicated to you before your booking is confirmed.

Reservations & Deposits

We recommend beginning the planning and booking process as early as possible, particularly for travel during popular seasons or where accommodations, safari camps, experiences or other services have limited availability.

A booking is not considered confirmed until the required deposit and any requested documentation have been received.

Deposit amounts and payment schedules may vary depending on the travel arrangements and suppliers included in your journey. These details will be provided to you before your booking is confirmed.

Some deposits, supplier payments, airfare or other travel services may be non-refundable once confirmed.

Final Payment

The timing and amount of final payment will be outlined as part of your booking.

Certain accommodations, airlines, tour operators and other travel suppliers may require earlier or additional payments. Where applicable, these requirements will be communicated to you as part of your booking arrangements.

Failure to make payment by the required date may result in the cancellation of your booking and the application of applicable cancellation fees.

Changes to Your Booking

If you would like to make changes after your journey has been confirmed, please contact us as soon as possible.

We will make reasonable efforts to accommodate requested changes; however, changes are subject to availability and the terms and conditions of the applicable travel suppliers.

Additional costs, supplier fees or administrative fees may apply.

Cancellation by the Traveller

All cancellation requests must be made in writing.

Unless different cancellation terms are disclosed for your specific journey, the following cancellation penalties apply:

120 to 91 days before departure: 45% of the total journey cost
90 to 31 days before departure: 65% of the total journey cost
30 days or less before departure: 100% of the total journey cost

Where a refundable deposit applies, cancellation more than 120 days before departure is subject to a $500 non-refundable administrative fee per person.

Certain travel arrangements may have different or more restrictive cancellation conditions. These may include airfare, accommodations, safari camps, private experiences, permits, insurance and other services requiring non-refundable deposits or advance payment.

Where supplier-specific cancellation conditions differ from those above, the applicable conditions will be disclosed as part of your booking.

Cancellation terms for travel insurance and airfare may also differ from the terms above. Travellers are responsible for reviewing the conditions associated with any additional travel services purchased.

Unused Travel Arrangements

No refund will be provided for accommodations, transportation, experiences, meals or other travel services that are voluntarily missed or unused during your journey.

If you choose to alter, interrupt or end your journey after departure, refunds for unused arrangements cannot be guaranteed and will be subject to the policies of the applicable travel suppliers.

Travel Insurance

Travel can be affected by unexpected circumstances before or during your journey.

We strongly recommend comprehensive travel insurance that provides appropriate coverage for circumstances such as trip cancellation, trip interruption, emergency medical expenses, evacuation, baggage loss or delay and other unforeseen events.

Insurance policies vary in their coverage, exclusions and conditions. Travellers are responsible for reviewing and understanding their policy and ensuring that the coverage selected is appropriate for their needs.

Travel Documents & Entry Requirements

Travellers are responsible for travelling with valid passports, visas, permits, health documentation and any other documents required for their journey.

Entry requirements vary by destination and may change without notice. Having the required documentation does not guarantee admission into another country, as final entry decisions are made by the appropriate authorities.

Berridge Travel Company will provide relevant information regarding travel documentation requirements as part of the booking process; however, travellers should ensure that their personal documentation remains valid and appropriate for their circumstances.

Health & Fitness

Some journeys may include walking, hiking, safari activities, water-based activities, golf or other experiences that require varying levels of physical activity.

Travellers are responsible for considering their own health, mobility and ability to participate safely in the activities included in their journey.

Where appropriate, travellers should consult their physician or other qualified healthcare professional before participating.

Any medical conditions, accessibility requirements or other circumstances that could materially affect travel arrangements should be brought to our attention during the planning process so that appropriate arrangements can be considered where possible.

Travel Suppliers

Berridge Travel Company works with independent travel suppliers in Canada, Africa and other destinations to arrange your journey.

These may include airlines, hotels, lodges, safari camps, tour operators, transportation companies, guides, restaurants and activity providers.

Travel services supplied by these third parties are subject to their own terms and conditions.

Berridge Travel Company does not own, operate or control these independent suppliers and cannot be held responsible for their acts or omissions except to the extent required by applicable law.

Changes Beyond Our Control

Travel arrangements may occasionally need to change because of circumstances outside the reasonable control of Berridge Travel Company.

These may include airline schedule changes, flight cancellations, weather conditions, natural disasters, wildlife conditions, government actions or travel advisories, political events, labour disruptions, accommodation changes, public health events or other circumstances affecting the safe or practical operation of your journey.

Where changes become necessary, we will work with our travel partners to make reasonable alternative arrangements where possible.

Additional costs resulting from circumstances outside our control may be the responsibility of the traveller, subject to applicable laws and the terms of the relevant travel supplier.

Wildlife & Natural Experiences

Wildlife encounters and other natural experiences are inherently unpredictable.

While journeys may be thoughtfully designed to provide excellent opportunities for wildlife viewing, seasonal events and other natural experiences, specific sightings, animal behaviour, weather conditions or natural events cannot be guaranteed.

This includes experiences such as the Great Migration, gorilla and primate encounters and sightings of particular wildlife species.

Activities & Assumption of Risk

Travel may involve activities and environments that carry inherent risks, including safari activities, wildlife encounters, walking or hiking, boating, swimming, water activities, golf, road travel, small-aircraft flights and visits to remote areas.

By choosing to participate, travellers acknowledge the inherent risks associated with travel and the activities included in their journey.

Travellers are responsible for following reasonable safety instructions provided by guides, accommodation providers, transportation providers and other travel professionals during their journey.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot lawfully be excluded or limited.

Traveller Conduct

Travellers are expected to comply with applicable laws and regulations in the countries they visit and to follow reasonable instructions provided by guides, accommodation providers and other travel professionals.

Berridge Travel Company and its travel partners reserve the right to discontinue services to a traveller whose conduct presents a safety risk, significantly disrupts other travellers or travel operations, or violates applicable laws.

Any additional expenses resulting from such circumstances may be the responsibility of the traveller, and refunds for unused services cannot be guaranteed.

Illness or Emergency

If a traveller becomes ill, injured or incapacitated during a journey, local travel partners may take reasonable steps to assist in obtaining medical attention or other appropriate assistance.

Any medical treatment, evacuation, transportation or related expenses remain the responsibility of the traveller unless covered by their travel insurance or otherwise required by applicable law.

Travellers should carry appropriate emergency medical and travel insurance for the duration of their journey.

Air Travel

Air travel is subject to the terms, conditions and tariffs of the applicable airline, as well as applicable laws and international conventions.

Flight schedules, aircraft, routes, baggage allowances, seating and other airline services may change and are generally outside the control of Berridge Travel Company.

Airline policies regarding cancellations, changes, refunds, baggage, advance seat selection and frequent flyer benefits vary by carrier and fare type.

Travellers should review the applicable airline conditions associated with their tickets.

Baggage

Airline baggage allowances and restrictions vary by carrier, aircraft and route.

This is particularly important for journeys involving light aircraft or bush flights, where baggage weight, size and luggage-type restrictions may be different from those of international airlines.

Applicable baggage requirements will be communicated where relevant to your journey.

Berridge Travel Company is not responsible for baggage that is delayed, lost or damaged by an airline or other transportation provider. Claims should be made directly with the applicable carrier, subject to its terms and applicable passenger protection laws.

Photography & Marketing

Berridge Travel Company will not use identifiable photographs, videos, testimonials or comments from travellers for promotional purposes without appropriate permission.

Limitation of Responsibility

Berridge Travel Company acts as an arranger of travel services provided by independent suppliers.

To the extent permitted by applicable law, Berridge Travel Company is not responsible for loss, damage, delay, injury, inconvenience or additional expense resulting from circumstances outside its reasonable control or from the acts or omissions of independent travel suppliers.

Nothing in these Terms & Conditions limits rights or remedies available to travellers under applicable consumer protection or travel industry legislation.

Supplier Terms & Conditions

In addition to these Terms & Conditions, individual airlines, accommodations, tour operators and other travel suppliers may have their own terms, conditions, cancellation policies and liability limitations.

Where applicable, travellers will also be subject to those supplier terms.

Acceptance of Terms

By confirming your booking and providing the required deposit or payment, you acknowledge that you have reviewed and accepted these Terms & Conditions together with any booking-specific terms and supplier conditions provided to you.
